Job Description

  • To answer and deal with telephone calls quickly and efficiently and that messages are passed to those concerned.
  • Manage enquiries and make sure all leads are fairly and appropriately distributed.
  • To become a local expert on our in-house CRM system KORE
  • To greet customers and visitors in a friendly manner, either introduce them to the person they have come to see or sit them down in the customer waiting area, offer coffee and refreshment  where  appropriate, inform the person they have come to see and make sure they are comfortable whilst waiting.
  • To ensure refreshments are always available.
  • As appropriate, to open post and distribute accordingly and pass the remainder to addressees or appropriate recipients.
  • To keep reception area tidy, make sure cups are removed from the area and any rubbish thrown away.
  • To frank and prepare post and ensure that it is delivered to the Post Office
  • General clerical work as instructed by all departments.
  • To comply with all the Quality Standards agreed within the dealership and to have personal responsibilities for the application of the dealership's Policy and Procedures.
  • Attend to the general presentation of the showroom, including supervising the valeter, to ensure that all cars on site are presentable and have the relevant info displayed.
  • Ensure that the merchandise cabinet is stocked at all times with relevant items.
  • Prepare and distribute used car stock list.
  • To carry out such work as the Sales Manager may require.
  • As required to assist main Sales Administration with the following:
  • Process of new vehicle ordering in line with direction from Sales Manager. Ensure the accuracy of orders against current specification codes for standard and factory fitted equipment.
  • Provide Sales Management with reports on results.
  • To ensure the efficient administration of all new and used vehicles for the Dealership Sales Department within defined operational policies.
  • Collate and record all new/used vehicle delivery information. Ensure files are created for all new vehicles into stock and stock record book showing all vehicle details (colour, chassis number, date of delivery etc.).
  • On completion of vehicle's sale ensure routing of documentation to all appropriate departments.
  • Arrange Registration and Vehicle Excise Licences for all sold vehicles. Through local taxation offices arrange and maintain a supply of registration numbers and raise cheques requisitions.
  • Arrange hand over of taxed, registered and prepared vehicles for sales staff if required. Supply tax disc holders, completed service handbooks, log books and sales invoice.
  • Prepare and complete all sales invoices in a timely manner. Check for accuracy on prices, tax and non-revenue items, "on the road" packs, deposits and part exchanges and all related items. Ensure routing to appropriate departments.
